1. What Data We Collect

Terminus collects the following data to provide its merchandise damage evidence service:

Order data — Order identifiers, carrier names, tracking numbers, and timestamps synced from Shopify or entered manually.
Evidence records — Exception types, notes, location information, and photographs of damaged merchandise.
Capture environment — When evidence is captured with the mobile app, the WiFi environment visible to the device (network names, hardware identifiers, and signal strengths) is recorded to corroborate the capture location. This data is visible only to your organization and is never shared through public links.
User information — Name and email address for account authentication.
Organization data — Company name and Shopify store domain for multi-tenant scoping.

2. How We Use Your Data

Data is used solely to operate the Terminus evidence management system: recording damage, linking evidence to orders, generating share links for carriers and insurers, and providing dashboard analytics.

3. Data Storage & Security

Data is stored in encrypted PostgreSQL databases. Photos are stored in Amazon S3 with server-side encryption. All connections use TLS. Access is scoped to your organization — no other tenant can view your data.

4. Data Retention

Data is retained for the duration of your active subscription. Upon account deletion or Shopify app uninstallation, all organization data (orders, evidences, photos, audit logs) is scheduled for deletion within 30 days per GDPR and Shopify requirements.

5. Your Rights (GDPR)

You have the right to access, correct, or delete your personal data. You may also request a copy of your data or restrict its processing. To exercise these rights, contact us at the address below.

6. Third-Party Services

Terminus integrates with Shopify (order sync, embedded app hosting) and Amazon Web Services (photo storage). These services have their own privacy policies.
